Quick answer

Month-end can get hectic for property managers. Rent has to be checked, bills need to be accounted for, and owners are waiting for their statements. A month end close checklist gives the team a practical way to work through those tasks without overlooking something important. The close often takes around 5–10 working days, depending on the size of the portfolio and how complete the records are.

Think of it as a monthly close checklist with one goal: get the numbers right before reports go out and owner distributions are made. Use the steps below as a starting point, then adapt them to your portfolio and accounting software.

## What is a month-end close?

A month-end close is the process of reviewing and finalizing a month's financial records. For property managers, that means checking income and expenses, reconciling bank accounts, reviewing tenant receivables and vendor bills, and making sure security deposits and trust account balances are right. Once those checks are complete, the team can prepare owner statements using records that have been reviewed rather than figures that may still be missing or duplicated.

## Before you start: pre-close cutoff

Good month end closing procedures start before the month ends. Set a calendar with the cutoff date, the person responsible for each task, and the planned date for sending owner statements. Then gather the records the team will need: bank statements for each account, the rent roll, vendor and utility bills, and details of lease changes such as move-ins, move-outs, renewals, and rent increases.

Check that rent receipts, payments, and recurring charges have been entered up to the cutoff date. The previous month should already be locked, with its reconciliations reviewed. If anything is still unresolved, carry it onto the new month's follow-up list. Property managers may use AppFolio, Buildium, Yardi, or Rent Manager, along with general accounting software such as QuickBooks or Xero.

## The month-end close checklist, stage by stage

![The 7 stages of a property management month-end close, from cash and bank reconciliation to locking the period](https://www.synchronousservices.com/hubfs/blog-assets/month-end-close/month-end-close-7-stages.svg)

The 7 stages of the month-end close, in order.

### 1. Cash and bank reconciliation

Month end reconciliation starts with cash. Reconcile each account on its own. The operating account, trust account, and any separate security deposit account should not be treated as one pot of money. Compare each bank statement with the accounting records and follow up on differences before moving on.

- Match bank transactions to the accounting records and identify missing or duplicate entries.
- List outstanding checks and deposits in transit; flag checks older than 90 days for follow-up.
- Match combined online rent deposits to the individual tenant payments in each batch.
- Record bank fees and reverse returned or NSF (non-sufficient funds) rent payments.
- Check that transfers between trust and operating accounts appear on both sides.

### 2. Rent roll and tenant receivables

Next, compare the rent roll with the accounting records. The accounts receivable (AR) aging report helps show how long tenant balances have been outstanding. Teams commonly review balances in 0–30, 31–60, 61–90, and 90-plus-day groups.

- Compare rent charged and payments received with the rent roll.
- Review tenant delinquency and follow up on overdue balances.
- Check renewals, rent increases, concessions, move-ins, and move-outs.
- Confirm partial payments are applied to the correct tenant, charge, and month.
- Reverse bounced payments so the tenant balance is accurate.
- Record prepaid rent in the month it covers. For example, December rent paid on November 25 is not November income.

### 3. Accounts payable and vendor bills

The accounts payable month end close process is about making sure property expenses have not slipped through the cracks. Compare completed work orders with the vendor bills received. Say a plumber finishes a repair in October, but the invoice has not arrived by month-end. Follow up with the vendor and check whether an accrual is appropriate. An accrual records an expense in the period it belongs to, even when the bill comes later.

- Review the AP aging report and follow up on overdue or disputed bills.
- Check recurring bills such as utilities, landscaping, insurance, and HOA dues.
- Look for duplicate invoices and bills coded to the wrong property.
- Confirm the owner has enough available funds before paying a bill.
- Keep each vendor's W-9 on file for applicable US year-end 1099 reporting.

### 4. Security deposits and trust account reconciliation

Security deposit reconciliation is a core part of property management trust accounting. A three-way reconciliation checks three figures against one another: the bank balance, the book balance in the accounting records, and the combined total of the individual owner and tenant ledgers. They should agree. For example, if the trust account's bank statement shows $52,000, the books show $52,000, and the individual owner and tenant ledgers add up to $52,000, the account is reconciled. If the ledgers only add up to $51,400, the $600 difference needs to be found before any owner is paid. If the figures do not agree, the difference needs to be investigated rather than carried into the next month. Whether this reconciliation is legally required, and how often, varies by state.

![Three-way reconciliation: bank, books, and owner and tenant ledgers all showing $52,000](https://www.synchronousservices.com/hubfs/blog-assets/month-end-close/three-way-reconciliation.svg)

A three-way reconciliation: all three figures must agree before owners are paid.

- Check each transaction is assigned to the correct owner, property, or tenant.
- Confirm security deposit balances match lease records after move-ins and move-outs.
- Investigate unidentified deposits, old uncleared checks, and bank fees.
- Review negative owner balances carefully; paying bills without enough funds can put other owners' money at risk.

### 5. Management fees and owner distributions

Calculate management fees according to the management agreement. For example, a fee may be based on rent collected rather than rent billed, and leasing or renewal fees should only be added when the agreement allows them.

- Confirm bills have been paid or appropriately held back and the agreed owner reserve remains in the account.
- Do not distribute security deposits; they belong to tenants.
- Hold prepaid rent until the month it covers, according to the applicable accounting treatment.
- Check the distribution agrees with the property management owner statement and does not create a negative owner balance.
- Verify bank detail changes with the owner by phone using a trusted number.
- Have a second person review and approve distributions before payment.

### 6. Owner statements and month-end reporting

Owner statements should give a clear picture of how a property performed and where the money went. Check each property management owner statement against the final accounting records before it is sent. Depending on the reporting package, the owner may also receive month end financial reports such as a balance sheet, income statement, budget-versus-actual report, and net operating income (NOI). NOI is generally property income minus operating expenses, before financing costs and income taxes.

- Check income, expenses, fees, and owner distributions against the ledger.
- Review budget-versus-actual differences and explain significant variances.
- Confirm reports are complete and the recipient list is correct.
- Aim to send owner statements between the 10th and 15th of the following month, where this fits the company's process and commitments.

### 7. Review and close the period

Before calling the month complete, review the general ledger for unusual balances, misclassified transactions, and differences that have not been explained. Make sure reconciliations are finished, remaining issues are resolved or documented, and the reports have been reviewed. Then lock the period in AppFolio, Buildium, Yardi, or the relevant system. That helps prevent a late entry from changing reports owners have already received.

## A sample month-end close timeline

Many property management companies complete the close in 5–10 working days. A small portfolio with clean records may close in 3–5 days, while a larger portfolio or a month with missing records may take closer to 10 days. Owner statements are often sent between the 10th and 15th of the following month.

| Timing | Typical tasks |
| --- | --- |
| Days 1–2 | Collect records, confirm cutoff, and check transaction entry. |
| Days 3–5 | Reconcile bank accounts; review rent roll, tenant receivables, and vendor bills. |
| Days 6–8 | Check trust and security deposit balances; review fees, distributions, and owner reports. |
| Days 9–10 | Resolve remaining items, complete approvals, and lock the period. |

## What this looks like in practice

Example scenario

A property management company with 140 residential units uses AppFolio. Owner statements are going out around the 20th of each month, and its trust account never seems to balance.

During the three-way reconciliation, the bank shows $184,250 while the books show $187,920 — a difference of $3,670. The review finds two bounced rent payments that were not reversed ($1,450 and $1,600, totaling $3,050) and one tenant payment entered twice ($620). Separately, $6,200 of December rent paid in November had been counted as November income, so those owners were paid a month early.

The team reverses the bounced payments and duplicate entry, holds prepaid rent until the month it covers, and makes the three-way reconciliation a required step before owner distributions. The trust account then balances to the cent, and owner statements go out by the eighth working day instead of the 20th. This is an illustrative scenario, not a named client case.

## 7 things property managers most often miss

1. **Skipping the three-way reconciliation.** Checking the bank against the books alone can leave differences in individual owner or tenant ledgers unnoticed.
2. **Counting prepaid rent as current-month income.** This can distort monthly results and lead to early owner distributions.
3. **Missing vendor bills for work already completed.** Expenses may look too low, which can result in an owner receiving more money than is available.
4. **Allowing negative owner balances.** Paying bills without sufficient funds can put other owners' funds at risk.
5. **Security deposits that do not match lease records.** Move-ins and move-outs can change deposit balances, so records need to be updated.
6. **An outdated rent roll.** Missing renewals, rent increases, concessions, or move-outs can make tenant balances inaccurate.
7. **Failing to lock the period.** Late entries can change reports after they have already been sent to owners.

## How to speed up your month-end close

Month end close best practices are usually simple ones done consistently. Reconcile bank accounts weekly so the end of month reconciliation is quick, use bank feeds where they make sense, and keep the close calendar up to date. Follow up on missing information when it comes in, rather than waiting until the end of the month. It also helps to assign a clear owner to each task and keep a short note of anything still unresolved.

## Should you outsource your month-end close?

Outsourcing property management accounting or property management bookkeeping can give an internal team some breathing room. It may add another layer of review and help owner statements go out more consistently, particularly when a portfolio is growing or month-end work keeps falling behind.

It is not entirely hands-off, though. A new provider needs time to learn the portfolio, chart of accounts, owner agreements, and reporting preferences. The business also has to manage software access and decide which approvals stay in-house. Before [outsourcing](https://www.synchronousservices.com/outsourced-accounting), agree on responsibilities, deadlines, review steps, and how exceptions should be raised.

## Frequently asked questions

What is a month-end close checklist?

A month-end close checklist is a repeatable list of tasks used to check financial records before reports are finalized. For property managers, it commonly covers bank reconciliation, rent roll reconciliation, accounts payable, security deposits, trust accounts, owner distributions, reporting, and final review. Some teams call it an accounting month end close checklist. Teams should adapt it to their software, portfolio, and applicable state requirements.

What is a three-way reconciliation?

A three-way reconciliation compares the bank balance, the balance recorded in the accounting books, and the combined balances in individual owner and tenant ledgers. The three figures should agree. If they do not, the team investigates missing, duplicate, misclassified, or incorrectly assigned transactions before treating the account as reconciled. Requirements and timing vary by state.

How do you close accounts payable at month end?

Review the accounts payable aging report, record vendor bills, check recurring expenses, and follow up on work completed without an invoice. An accrual may be appropriate when an expense belongs to the month being closed, depending on the accounting basis used. Check for duplicate bills, correct property coding, and available owner funds before payment.

When should owner statements be sent?

Owner statements are often sent between the 10th and 15th of the following month, but the right date depends on the company's close process, the completeness of records, and commitments made to owners. A close calendar helps the team work toward a predictable date without skipping reconciliations or sending reports that have not been reviewed.

How long does a property management month-end close take?

Many property management companies complete the close in 5–10 working days. A small portfolio with complete records may take 3–5 days, while larger portfolios or months with missing information can take longer. Regular reconciliations, timely vendor bills, clear responsibilities, and a consistent calendar can reduce avoidable delays.
